This Privacy Notice is for SportInsight Account Holders. If you signed up to use SportInsight through our app, our website or a sports club that uses our products, that's you!
SportInsight is a provider of digital services which help sports clubs to manage and communicate with their members, and allows members to engage with activities and book facilities at the clubs. It is operated by Insight Nexus Limited, a company registered in the United Kingdom under company number 12571039. SportInsight's address is 5a Bartlett Street, Bath, Somerset, England, BA1 2QS. SportInsight acts as a data controller with respect to the personal data discussed in this policy. Being a data controller simply means we determine the purposes and means of processing your personal data.
If you sign up with SportInsight, you may access the facilities and features exposed by the clubs for which you are a member subject to those clubs having given you access to do so under the terms of your membership with them. In this document, these and other similar usages of SportInsight are referred to as our Services, and references to "we", "us" and "our" refer to SportInsight as operated by Insight Nexus Limited.

This email inbox is proactively monitored, so you can confidently expect your query to be addressed. We aim to respond to enquiries within 30 working days but will usually be in touch much sooner.
When you create and use your SportInsight account, you provide us with certain personal data. The legal basis for us collecting, processing and storing this data is your consent.
We divide this data into "Required Account Data" (information essential for us to provide you with our Services),"Optional Profile Data" (other information about you that you might supply but which is not required in order to use our Services) and "Membership Data" (information about you provided by the sports club(s) of which you are a member).
Any data you supply will be visible by administrative staff at the clubs of which you are a member. Some data may be visible to other members at that club (such as your name and phone number) subject to you agreeing to make it visible to these people. You can control this through your account settings for each club of which you are a member.
We collect some personal data from you so that you can make use of SportInsight's Services. We don't ask for more data than we need in order to provide our Services to you. The minimum personal data required for us to deliver our Services includes:
You may also choose to provide us with extra personal data in order to enhance the way your profile is presented to other SportInsight users or in order to make use of a special service. You can use our regular Services without providing this data, but if you do provide it, it will be treated with exactly the same care as your other personal data. This data is automatically collected when you use and interact with our Services. It includes log files, metadata, location information and cookie/device IDs. This information includes specific data about your interactions with the features, Internet Protocol (IP) address, information about browser configuration and plugins, browser type and settings, content and links (including those of third-parties, such as social media plugins) contained within the Services, the date and time the Services were used, language preferences and cookie data, information about devices accessing the Services, including type of device, what operating system is used, device settings, application IDs, unique device identifiers and error data, and some of this data collected might be capable of and be used to approximate your location.
Your club may provide us with Membership Data about you in order for us to provide our Services.
Someone else might provide us with personal data about you. For example, if you cannot access your account, you might ask your partner or a friend to write to us to ask us to help you find the account. Typically they would provide your name and email address. In circumstances like these where others give us information about you, or you provide us with personal information about others, we will only use that information for the specific reason for which it was provided to us.
We strongly believe in both minimising the data we collect and limiting its use and purpose to only that (1) for which we have been given permission, (2) as necessary to deliver the Services you interact with, or (3) as we might be required or permitted for legal compliance or other lawful purposes. A part of SportInsight is the presentation of some of your data on our website and mobile app: any information you post publicly using our Services will be available to other members of your club. For example, when booking a court at a club your name will appear against that court for other members to see.
We are not responsible for your use of otherwise private personal information, which you make available via our Services, or the activities of other users or other third parties to whom you give or make available your information. For example, we will never reveal your email address to other users as part of the normal operation of our Services, but we have no control over you choosing to post your email address in a public location such as a message board.
We may contact you directly or through a third party service provider regarding products or services you have signed up or purchased from us, such as necessary to deliver transactional or service related communications. For example, we may send you a confirmation email after you book a court at your club. We may also contact you with offers for additional services we think you'll find valuable if you give us consent, or where allowed based upon legitimate interests. We may share your personal data with third parties with which we have partnered to allow you to integrate their services into our own Services, and with trusted third party service providers as necessary for them to perform services on our behalf, such as:
We only share your personal data as necessary for any third party to provide the services as requested or as needed on our behalf. These third parties (and any subcontractors) are subject to strict data processing terms and conditions and are prohibited from utilising, sharing or retaining your personal data for any other purpose than as they have been specifically contracted for (or without your consent).
Financial transactions relating to our Services may be handled by our payment service provider or by our bank. We will share transaction data with our payment service providers or bank only to the extent necessary for the purposes of processing your payments, refunding such payments, transferring money to you, and dealing with queries and complaints relating to such payments, refunds and transfers.
If we collect information from you in connection with a co-branded offer, it will be clear at the point of collection who is collecting the information and whose privacy policy applies. In addition, it will describe any choice options you have in regards to the use and/or sharing of your personal data with a co-branded partner, as well as how to exercise those options.
The hosting and other technical provisions for our website and mobile app are situated in the United Kingdom. If you utilise our Services from a country other than the United Kingdom, your interactions with us may result in transferring your personal data across international borders.
The U.S.-based Data Processors who process and store some of our data participate in the E.U.-U.S. Privacy Shield Framework and we make participation in the E.U.-U.S. Privacy Shield Framework and similar programmes in other territories a top priority when selecting data processing vendors. The European Commission has made an "adequacy decision" with respect to the data protection laws of the United States. Transfers to the United States will be protected by appropriate safeguards.
Your data may be processed by staff operating outside the UK or EEA who work for us or for one of our suppliers. Such staff may be engaged in, among other things, delivering our Services to you or the provision of support services. We cooperate with government and law enforcement officials and private parties to enforce and comply with the law. To the extent we are legally permitted to do so, we will take reasonable steps to notify you in the event that we are required to provide your personal information to third parties as part of a legal process.
We use multiple analytics tools provided by service partners such as Google Analytics to collect information about how you interact with our website or mobile applications, including what pages you visit, what site you visited prior to visiting our website, how much time you spend on each page, what operating system and web browser you use and network and IP information. We use the information provided by these tools to improve our Services. These tools place persistent cookies in your browser to identify you as a unique user the next time you visit our website. Each cookie cannot be used by anyone other than the service provider (e.g. Google for Google Analytics). The information collected from the cookie may be transmitted to and stored by these service partners on servers in a country other than the country in which you reside. Though information collected does not include personal data such as name, address, etc., the information collected is used and shared by these service providers in accordance with their individual privacy policies. You can control the technologies we use by managing your settings through our Cookie Policy or the "cookie banners" that may be presented (depending on URL of website visited) when you first visit our web pages, or by utilising settings in your browser or third-party tools. Please bear in mind that refusing or deleting some cookies may make it impossible for us to provide our Services to you.

The easiest way to change your information is to log into SportInsight and edit your account settings.
If you can't log into your account for any reason, or you wish to delete the data we hold about you, please contact your club or our helpdesk at support@getsportinsight.com and we'll help you.
If you make a request to delete your personal data and that data is necessary for the Services we are providing to you, the request will be honoured only to the extent it is no longer necessary for any Services provided to you or your club or required for our legitimate business purposes or legal or contractual record keeping requirements. For example, if your club manages its memberships using SportInsight, deleting your SportInsight data would render your club unable to operate your membership. In such an instance, you would need to cancel your membership with the club in order for SportInsight to be able to delete the data it holds about you.
At any point while we are in possession of or processing your personal data, you, the data subject, have the following rights:
All information you provide to us is stored on our secure servers or those of our trusted partner services. We implement appropriate, generally accepted technical and organisational measures to protect your personal data against unauthorised or unlawful processing, accidental loss, destruction or damage, including encryption where appropriate. Unfortunately, the transmission of information via the Internet is not completely secure. We will do our best to protect your personal information, but we cannot guarantee 100% security of your data transmitted to our servers; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security to prevent unauthorised access to our servers.
We retain personal data only for as long as necessary to provide the Services you have requested and thereafter for a variety of legitimate legal or business purposes. These might include retention periods:
